Customer Filters Popup

How to filter customers by status, source, payment integration, and business from the Filters panel, or the filters popup on a phone.

Work Planner Team12 April 2026

On a computer or tablet, the Customers list's filters are behind the Filters button beside the search: a funnel, with the number of filters you've set in a circle on its corner. It slides the filters out from the right, each with its name above it, and each one applies as soon as you change it. On a phone, the filter button beside the search opens the Filter Customers popup instead, where you choose them and then apply them.

Either way, the filters are the quickest way to narrow the customer list, and they are useful when you want to be very deliberate about which kinds of customers should stay visible together.

Status

  • Active: The default day-to-day view. It keeps the list focused on live customers.
  • Cancelled: Shows customers that have been cancelled out of active use.
  • Transferred: Use this when you specifically need customers that have been moved to another business. They do not appear in the normal active view or the All Statuses shortcut.
  • All Statuses: Useful when you want active and cancelled customers together, but it still leaves transferred customers out unless you choose Transferred directly.

Customer Source

  • Choosing sources: Pick one or more lead sources from the list, which you can search, and the field says how many you've chosen.
  • On a phone: Select Customer Sources opens a selector instead, and each source you choose appears as a tag under the button, so you can see exactly what is chosen before you apply the filters.
  • When to leave it blank: Leave this alone when you want the full customer base regardless of how the customer first came in.

Payment Integration

  • All Payment Integrations: The neutral setting.
  • GoCardless: Useful when you want to focus on customers already tied to a GoCardless payment integration.
  • Why this helps: It is a quick way to find customers who are already set up for Direct Debit without opening every customer record.

Owes

  • Owes money: Tick it to see only the customers who owe you something, by their balance across all their jobs.
  • More than: Appears once Owes money is ticked. Leave it empty for anything owed, or type an amount, such as 50, to see only the customers owing more than it. The chip says Owes: Anything or Owes: More than £50.00.
  • Collecting: Tick the customers it finds and choose Add to Collection Sheet to put the jobs they owe on onto a collection sheet. See Adding Jobs to a Collection Sheet.
  • Prices hidden: It isn't there when your role can't see prices and balances.

Business

If your account works across more than one business, the business filter lets you narrow the customer list to one or more selected businesses. That is especially useful when sources or payment integrations only make sense inside one business.

Buttons

  • Chips: Each filter you've set shows as a chip beside the search, such as Status: Cancelled or Customer Sources: Website +2. Its × takes that filter off, and clicking the chip opens the filters again.
  • Clear all: At the foot of the panel once something is set. It puts the list back to the default working state, which means active customers with no extra source, payment integration, or business filters.
  • Show 24 customers: Closes the panel. It says how many customers the list now shows.
  • On a phone: In the popup, Apply saves your choices back to the customer list, Clear Filters resets it to active customers with nothing else set, and Cancel closes it without changing the list.
