Template Use, Page Size and Layout

What a template’s Used for, Page size and Layout settings do: printing and emailing, text messages, A4 and A5, and printing several documents to a sheet.

Work Planner Team12 April 2026

These settings are on each template’s details page, under Details. They decide how the template is used and how its documents print. A new template starts as A4, full page, printed and emailed, and you can change that once it’s created.

Used For

  • Print: The template can be printed, from the Print Documents popup and the other print buttons around the app.
  • Email: The template can be attached to emails, with Attach a document in the Message Customers popup.
  • Both: Tick both for documents you sometimes print and sometimes email, such as invoices. At least one has to be ticked.

Text Messages and Emails

A text message template, such as the System We are coming tomorrow reminder, is always sent as a text, and an email template is always sent as the email itself, so their details pages have no Used for, page size or layout. They are made with Create from scratch and Text message or Email message in the Create a template popup, and a printed template can’t be turned into one, or the other way round.

Page Size

A4, or A5, which is half the size. The editor draws the page at the size you choose, and printing uses the same paper size.

Layout

  • Full page (1 per page): Each document has a page to itself. The usual choice for invoices, quotes, worksheets and letters.
  • Half page (2 per page): Two documents to a sheet, one above the other, each half the height of the page.
  • Quarter page (4 per page): Four documents to a sheet, in two rows of two, such as slips to cut apart and leave with customers.
  • Full width (stacked down the page): Documents follow one another down the page, starting a new page only when one is full. It suits short documents printed in a batch.

When you print several documents with a half or quarter page template, each space on the sheet holds a different document. In the editor and the previews, One copy shows one document at its real size and Whole sheet shows how they share the sheet. Keep a half or quarter page design inside the dashed line the editor shows; anything past it doesn’t fit its space on the sheet.

The Default Template

Each document type can have one default template, marked with a filled star on the template list. It’s the one Work Planner uses for that kind of document unless you choose another. Set it with Use as the default template on the details page or with the star on the list.
