Expense Category Details

What appears in the Expense Category details popup and what each section is telling you.

Work Planner Team12 April 2026

Open a custom row from Settings > Expense Categories to view its details popup. This is the quickest way to confirm exactly what category record you are looking at before deciding whether to edit it.

What the Popup Shows

  • Name: The live label used for the category.
  • Business: Appears in multi-business setups so you can confirm which business owns the category.
  • Type: Shows whether the category is System or Custom.
  • Tax box: The box on your Self Assessment return its expenses add up in, such as Car, van and travel expenses, or Not chosen yet: its expenses go under Other business expenses. See Income Tax.
  • Color: Shows both a swatch and the saved hex colour value.
  • Dates: Shows the created date and the most recent updated date.

Across the top of the popup is the category's name, with Custom or System beside it and Expense category underneath, with the business when you work in more than one. At the right of that bar are the help (?) button, and the buttons to expand the popup and close it.

Edit and Delete

  • Custom categories: Down the right of the popup, Edit expense category jumps straight into the edit popup. On a phone, it's Edit, at the top right.
  • Delete expense category: In red at the foot of the same side bar. It asks first, as the bin on the list does, Are you sure you want to delete this expense category?, and Delete deletes it and closes the popup.
  • System categories: Do not use the same normal edit flow from the list, which is why they need a little more caution before changing anything around them.

Why the Popup Is Useful

The details popup is a good checkpoint when you are checking whether a category belongs to the right business, whether it is protected, or whether a colour or naming issue really needs editing. It is also the easiest place to see the created and updated dates together.
