Quote Detail View

How the quote detail view is organised, including actions, tabs, services, pricing, images, and related jobs.

Work Planner Team12 April 2026

The quote detail view is where the whole quote comes together. It shows the pricing, dates, customer details, images, and the action buttons that move the quote from open work into confirmed jobs.

Top Bar and Actions

The top bar shows who the quote is for, with its status, and under them the quote reference, with its business when you work across more than one, and the site address. The tabs run along the top, each an icon over its name. Down the right of the Details tab is the quote's total, with when it was sent, Not sent yet, or how the customer answered online, and under it the quote's actions: the main ones as buttons, the rest as links, and the ones that end the quote in red at the foot. When the popup is too narrow for them down the side, they sit under the tabs instead. On a phone they are round buttons under the customer's name, with Edit at the top right.

  • Send Quote: The main button until the quote is sent. Sends the quote to the customer by email or text, with a link to see it in full and accept or decline it online. If a service is still missing its price, the price popup opens first. Once the quote has been sent it reads Send Again, among the links, and sends the same link again.
  • Mark as Sent: The green button under Send Quote, for a quote you have handed over yourself, such as a printed copy. It only changes the status to Sent and sends nothing. It's greyed out, with the reason under it, while the quote can't be marked as sent yet, such as when a service on it has no price.
  • Confirm Quote: The main button once the quote has been sent and is ready to become customer and job records.
  • Print: Generates a quote PDF from the current record.
  • Edit quote: Last of the links, while the quote can still be changed.
  • Decline Quote: In red at the foot, on sent quotes. It closes the quote off without turning it into work.
  • Delete quote: In red at the foot, only while the quote is still in a deletable state, such as received, pending, or declined.
  • Open customer and Edit customer: At the foot of the popup on the customer tab, after confirmation. Open customer opens the linked customer's own record, and Edit customer changes their details.

Details Tab

  • Dates: Due Date, Sent Date, Confirmed Date, and Created Date are all shown together so you can see the full life of the quote at a glance.
  • Delivered, Email Opened and Viewed Online: Once you have sent the quote, these show when an email or text with it first reached the customer, when they first opened its email, and when they first opened the page its link takes them to. Each appears once it has happened. Some email apps load emails by themselves, which can count as opened, and emails sent through your own email server under Settings › Email don't report opens at all. Opening the link yourself while you are signed in to Work Planner doesn't count as the customer viewing it.
  • Status: The badge tells you whether the quote is received, pending, sent, confirmed, or declined. When the customer answered through the quote link, it also says so, such as Accepted online on 15/10/2026.
  • Waiting to be confirmed: If a customer accepts online when your plan has no room for more jobs, the quote stays Sent with a note at the top. Make room, then use Confirm Quote to add their jobs.
  • Customer sections: Customer Source, Customer Information, Address, and Contact Information stay on the details tab until the quote is confirmed and a dedicated customer tab becomes available.
  • Services: Every quoted service is shown as a badge, along with the saved price breakdown for that service.
  • Images: Attached images appear as thumbnails. Click any image to open the image viewer popup.
  • Related Jobs: After confirmation, job buttons appear so you can jump into the jobs created from the quote.
  • Pricing: The detail view shows subtotal, VAT, and total. If the quote does not have stored totals yet, Work Planner falls back to the service pricing totals.

Extra Tabs After Confirmation

  • Job(s) tab: Appears once the quote is confirmed and related jobs exist. This tab shows the jobs table for the jobs created from the quote.
  • Customer tab: Appears when the confirmed quote has a linked customer record. It shows the customer information that now sits behind the confirmed work.
  • Why the extra tabs matter: Once the quote becomes live work, the detail view turns into a bridge between the original quote, the created jobs, and the created or matched customer.

Pinning

The pin at the top of the popup, beside the help button, adds this quote to the Pinned menu at the end of the main menu, so you can open it again from any page. Click it again to unpin it. See Pinned Records.
