Collecting at a Stop

Taking payment at a collection sheet stop, saying what happened when they did not pay, such as Not in, Promised to pay by a date or Refused, adding a note, getting directions and taking a stop off the sheet.

Work Planner Team2 November 2026

Each stop on a collection sheet has three buttons: Pay, Outcome and ⋮. Whatever you do at a stop is for every job owing at that door.

Taking Payment

Pay opens the same payment choices as Who owes you:

  • One job owing: Record payment for that job, for cash, a bank transfer or a cheque you've been given. When the customer could pay another way too, such as by card or Direct Debit where your business is set up for them, you choose how first.
  • Several jobs owing: Pay for all jobs, so one payment pays for all of them, the debt owed longest first. See Taking a Payment.

The payment is recorded straight away, on the customer's account, as any other is, and you can send them a receipt. The sheet counts it as collected at that stop. The stop then shows Paid once everything there is paid off, or Part paid while something's still owed. A part-paid stop is still to do until you say what happened there.

Pay isn't there once a stop is paid off, or on a finished sheet. When a customer pays some other way, such as by bank transfer to the office, the stop shows Cleared without counting it as collected on the sheet.

When They Don't Pay

Outcome says what happened at the door. The one you chose has a tick beside it.

  • Not in: Marks the stop Not in straight away. Choose it again to take it off.
  • Promised to pay…: Asks for Promised to pay by, the date they said they'd pay, and a Note. The stop shows Promised by that date.
  • Refused…: Asks for a Note, such as why they won't pay, and marks the stop Refused.
  • Add a note… or Edit the note…: A note on its own, such as Try after 6, without changing the outcome. It shows on the stop beside its buttons.
  • Clear the outcome: Takes the outcome off, so the stop is still to do. The note stays.

A stop with an outcome counts as done, and moves to the bottom of the list if you've chosen that for done stops. Taking a payment afterwards still works: the stop then shows what was paid.

Directions and Taking a Stop Off

  • Navigate: Under ⋮. Opens directions to the door in your navigation app. The first time, you choose which app: Google Maps, Waze, or Apple Maps anywhere but the Android app. It's the same choice as Navigate on a worksheet.
  • Take off sheet: Under the same button, after asking. The stop's jobs come off the sheet, still owing, and can go on another one.

On a Phone

Each stop is a row. Swipe it right for Pay and Not in, with More for Promised, Refused, Note and Take off sheet. Swipe it left for its jobs and what each owes, with Navigate at the foot.

Who Can Collect

Pay needs Record Payment, under Collection sheets on the Roles screen, and Create, under Payments, and is left out when your role can't see prices and balances. Saying what happened and adding notes needs Update or Record Payment, and taking a stop off needs Update. See Editing a Role.
