The Collection Sheet Page
A collection sheet laid out like a worksheet: who has it, how the round is going and what has been collected, its stops one per door as a grid or a list, and putting them in order by round, address, amount owed, oldest debt or by hand.
Open a sheet from Accounts > Collection Sheets, or from View sheet once you've added jobs to it. It's laid out like a worksheet, so it works the way you're used to, with what's owed in place of the work to do.
The Top of the Page
- Name: The sheet's name, with who has it beside it, such as Assigned to Sam, or Unassigned. Click who has it to give the sheet to someone else, when your role can.
- Finish Collection Sheet: For when the round is done. See Finishing and Printing a Collection Sheet.
- More Actions: Rename or Assign (just Rename when your role can't assign sheets) and Delete Collection Sheet.
The Summary
Hide collection sheet summary folds it away, and Show collection sheet summary brings it back.
- Status: Open or Finished, when it was made, and who has it.
- Progress: How many stops are done, such as 3 of 8 done, with a bar, and how many are Paid, Part paid, Not in, Promised, Refused and still Todo. A stop is done once it's paid off, however it was paid, or once you've said what happened there. A part-paid stop is still to do until you have.
- To collect and Collected: What the jobs owed when they went on the sheet, and what's been paid at its stops since, less anything refunded.
- Left to collect: What its jobs owe now. It goes down whenever they're paid, even when it's paid some other way, such as by bank transfer.
The money is left out when your role can't see prices and balances.
The Stops
Each stop is a door, numbered in the order you'll call. It shows the address, who lives there, and each of their jobs with what it owes, and the stop's total on the right. Once something's been paid there, it also says how much was collected.
- What happened: A badge beside the address says how the stop went: Paid or Cleared in green, Refused in red, and Part paid, Not in or Promised by a date in orange. Cleared means it was paid off some other way, such as in the office. A stop still to call on has no badge.
- Pay, Outcome and ⋮: Taking payment, saying what happened, and directions or taking the stop off. See Collecting at a Stop.
- Done stops: Stay where they are, or move to the bottom, as you've chosen for worksheets with Done stops in My Profile. At the bottom they go in the order they were done.
The page keeps itself up to date, so when someone takes a payment or adds jobs on another device, you see it within a few seconds.
Grid or List
View, above the stops, shows them as Grid, cards across the page, or List, one to a row. Work Planner remembers which you chose.
Putting the Stops in Order
Order By, above the stops, puts the whole sheet in order. A customer's jobs at one door always stay together. A new sheet starts in Round Name order.
- Manual: Opens Reorder stops. Drag the stops into the order you'll call on them, then Save order. Jobs added later go at the end.
- Round Order: By where each job comes in its round.
- Round Name: Round by round, A to Z, and in round order within each.
- Address 1: By the first line of the address, then postcode.
- Postcode: By postcode, then the first line of the address.
- Amount Owed: The most owed first.
- Oldest Debt: The debt that's waited longest first.
Except for Manual, the sheet stays in its order as jobs are added. To put the stops in the best order to drive, use Route. See The Route Popup on a Collection Sheet. Print prints the sheet in its order to take with you.
On a Phone
The sheet opens as a page of its own, with chips under its name for whether it's open, how many stops it has and what's been collected of what it set out to, such as £40.00 of £120.00. Route, Reorder, Finish, Print and the rest are round buttons under them, and Edit is at the top right. Each stop is a row: swipe it right to pay or mark it Not in, or left for its jobs, with Navigate at the foot. See Using Work Planner on a Phone.
A Finished Sheet
Once a sheet is finished it can't be changed. It keeps what each job owed when it was finished, and what was collected, as a record of the round.
