Invoice Selector Popup

How the invoice picker works from Record payment and the write-off popup: choosing the invoices a payment pays or the one a write-off is against, searching, and adding a new invoice.

Work Planner Team12 April 2026

The invoice selector popup is where you choose which invoices a payment pays, or which invoice a write-off is against. It opens from Attach Invoice(s), under Invoices in Record payment, and from the Write Off Invoice field in the write-off popup.

What the Popup Shows

  • Title: Select Invoices from Record payment, where one payment can pay several, or Select Invoice from a write-off, which is against one. Either way you are only choosing invoices, not changing the payment or write-off itself.
  • Current selection summary: What is chosen already. From Record payment it is folded under Currently selected, with how many; from a write-off the chosen invoice shows at the top.
  • Search: Use this to search invoices quickly when the customer has several open documents.
  • Columns: The table shows Invoice, Status, and Balance Due so you can match the right invoice before selecting it.

Which Invoices Appear

  • Customer-scoped results: Only the invoices of the customer the payment or debt is for.
  • Open and sent only: Paid, written-off and cancelled invoices are not offered, because payments and write-offs can only go against invoices that are still owed.
  • Often chosen already: Record payment starts with all the job's open invoices chosen, and a write-off with the job's open invoice when it has just one, so you only need the popup to change that.

Choosing or Replacing Invoices

  • From Record payment: Click invoices to tick or untick them, then press Select, which says how many are chosen, such as Select (2). With none ticked it reads Clear Selection, and the whole payment then goes against the job.
  • From a write-off: Click the invoice you want and the popup closes straight away with it chosen. If the write-off already has a different invoice, Work Planner asks you to confirm the replacement instead of silently switching it.
  • Balance due check: The amount is shown in the table for a reason. It helps you match a payment or write-off to invoices that can take it. A write-off can't be more than the invoice owes, and any part of a payment more than the chosen invoices owe is kept on the job as credit.

Add New Invoice

Use Add New Invoice in the popup header when the right invoice does not exist yet. Work Planner opens the invoice create popup. Once the new invoice is saved, it comes back chosen: the write-off is put against it, or Record payment adds it to the invoices the payment pays.

After You Choose

In Record payment, the chosen invoices are listed under Invoices, each with what it owes and a bin to leave it unpaid, and the payment pays them oldest first. A write-off's invoice goes in its Write Off Invoice field; use the Clear button there to remove it again.

  • Taking a Payment: Record payment, where Attach Invoice(s) opens this popup.
  • Write-Off Flow: Covers the same selector in the write-off path.
  • Invoices List: Useful when you need the broader invoice workspace instead of a single-selector view.
