Message and Print Actions

How to message customers and print documents for selected debt rows.

Work Planner Team12 April 2026

Select one or more debt rows to message the customers or print paperwork for those jobs, or use one row's own menu for just that job. Both fill in the details from the linked job and customer.

Start From the Selected Rows

  • Checkboxes: Tick the debt rows you want to work with first.
  • More Actions: In the header. It is greyed out until at least one row is selected, then holds Message Customers and Print Documents for the selected rows.
  • One row: A row's ⋮ menu has Message Customer and Print Documents, for just that job, without selecting it.
  • Print Debt List: In the header whenever there are debts. It prints just the selected rows, or with none selected, every debt the search and filters find. See Printing the Debt List.

Message Customers

  • Chasing payment: Email or text the customers of the selected debts, from your templates or written on the spot, with the amounts and job details filled in for each.
  • Who gets what: The popup shows how many go by email and by text, anyone who won't be messaged and why, and a preview of each message.
  • More: See Message Customers Popup.
  • Template: Choose one of the templates you print. Each shows its layout and whether it’s your default.
  • Preview: Shows the template filled in for each selected job in turn, so you can check it before printing.
  • Slips dated: Only for the service delivered slips, because that date is printed on them.
  • More: See Print Documents Popup.

A payment link or Direct Debit setup link is sent from the debt's own payment popups, which open Message Customers with the link filled in. See Instant Bank Pay Flow and GoCardless Billing Request Flow.

What These Do Not Do

Messaging and printing don't take payment or clear the debt balance on their own. Use them when the customer needs a reminder or paperwork, not when the next step is collecting money.
