Using Work Planner on a Phone
How lists, records, forms and popups are laid out on a phone: two-line rows you swipe, tabs along the bottom, and Cancel and save at the top.
On a phone, Work Planner lays its screens out to be used in one hand: each row of a list is two lines you can swipe, the sections of a record or a form are tabs along the bottom of the screen, and the buttons that cancel or save sit at the top. Everything you can see and do on a computer is still there, with the same names. A screen counts as a phone when its shorter side is under 600 pixels, so turning a phone sideways keeps this layout. An iPad mini held upright gets it too. Turned sideways, the mini has the computer layout, as larger tablets and computers do.
Lists
- The top of a list: Its name and how many it holds, with + to add one, and anything the list says about itself under them, such as what a report covers. Under them are the search, Filters and ⋯, which slides up Sort, Select and everything else the list can do, such as Export CSV. A list without a search has ⋯ beside its name.
- A list in part of a page: A list that shares a page or a record with other things, such as a customer's Jobs or the Profit and loss statement, has a small heading over its rows, with its search under it. Its + and its other buttons, such as Add Job or Download PDF, are under its ⋯.
- Each row: The first line, in bold, is what the row is about, with its amount or main figure on the right. For jobs and customers it follows the record label your business chose in Organisation Information. The second line has the detail, with the status or date on the right, so a late job says how late it is in red.
- Tap a row: Opens it, just as clicking it does on a computer. A row that has nothing to open shows its details instead.
- Swipe left: Shows View. Let go once it turns solid and the row's details slide in from the right, with every column the list has, including the ones you have hidden on a computer. The arrows at the top step through the rows, and the button at the bottom opens the record, with the row's main action, such as Complete, beside it.
- Swipe right: Shows the row's own buttons, such as Message and Add to Worksheet on a job. When a row has more than three, the last button is More, which slides the rest up from the bottom. Tap the row to put the buttons away.
- Filters: Slides up with each filter as a row, its name on the left and what it is set to on the right. A dot on Filters shows when some are set.
- Select: Puts a tick box on each row. The bar at the top has Cancel, how many are ticked and Select all, and what you can do with the ticked rows is along the bottom.
- Load more: A long list shows its first page with how many of them are showing, and Load more at the bottom adds the next page under them.
- Totals: A list that has a totals row on a computer shows its totals above the rows.
- Pull down to refresh: With the screen scrolled to the top, pull it down and let go once the round arrow has come all the way down. It spins while the screen fetches its latest, then goes. Only the screen you are on reloads, so where you are, your search and your filters stay. Screens that keep themselves up to date have it, including the Dashboard, the Planner, Jobs, Customers, Quotes, Invoices, Transactions, Rounds, Worksheets and a worksheet, Who owes you and Team. It isn't there while a popup is open.
Records and Forms
- A page of its own: A job, customer, quote, invoice or any other record opens full screen. The bar along the top has Back on the left, named for where you came from, the record's reference in the middle and Edit on the right. Jobs, customers, quotes, invoices, transactions and vehicles show their name first, with their main actions as round buttons under it and More holding the rest. Accounts opens the same way, with Record payment, Add expense and View transactions as its round buttons. Under those buttons are the pin, which adds the record to the Pinned menu, and the documentation for that kind of record. A form, or a record without round buttons, has them at the top of the page instead.
- Tabs along the bottom: The sections of a record, a form or a settings page are tabs along the bottom of the screen, in the same order and with the same names and badges as on a computer. When there are more than five, swipe the bar sideways for the rest.
- Cancel and save at the top: When you create or edit something, Cancel is at the top left and Create or Update at the top right. Each field is a row, its name on the left and its value on the right, and fields that go together share a card. A tab has a grey dot while something on it is still to fill in, and a red one once you try to save and something there needs putting right. Once it's done, the dot goes.
- Dates: A date field shows its date as day, month and year, such as 02/11/2026. Tapping it slides up the calendar to pick the day, without the keyboard.
- Tables: A table inside a record, a popup or a card, such as the items on an invoice, is a list of rows too, rather than a table you scroll sideways.
- Other popups: Slide up from the bottom of the screen with a bar along the top: Cancel on the left, the popup's name in the middle and its main button, such as Apply or Done, on the right. A popup with nothing to save has only Cancel or Close, on the left. Any other buttons, such as Reset to Defaults, stay at the foot of the popup. Tapping the dimmed screen above a popup closes it, as Cancel does, without pressing anything underneath.
- Menus and questions: A menu slides up from the bottom with no Cancel: tap the screen above it, or pull it down by the handle at the top, to put it away. A question, such as whether to delete something, slides up too, with its answer, such as Delete, over Cancel.
- Picking from a list: Dropdowns slide up from the bottom too, and so do the pickers for customers, jobs and the rest, as a list's rows with the search at the top. Tap a row to pick it, swipe it left for its details, and Load more at the bottom adds the next page.
- Settings: Each settings page is small headings over white cards of rows. A page whose changes wait to be saved, such as Email, has Cancel and Save Changes in a bar at the top. On Team, each person and each invitation is a row: tap one to change their vehicle or role, or to remove them or cancel the invitation.
- Notices: A notice, such as one saying something has been saved, spans the top of the screen. Tap it, or flick it up, to put it away.
Worksheets
- The buttons: Submit, Add item and the worksheet's other buttons are round buttons under its name, with More holding the rest.
- The stops: Swipe a stop right for Complete, Missed and More, or left for its details, as on any list. Tap it to record how the visit went. A quote's stop is processed instead: tap it, or swipe it right for Process, to open Process Quote. See Worksheet Detail Screen.
The Back Gesture on Android
It closes whatever slid up last, then a row's details, and then the page.
