Organisation Information Screen

A tour of the Organisation Information screen's tabs, from your address and bank details to working days, terminology and branding, and how changes save.

Work Planner Team12 April 2026

Open Settings > Business > Organisation Information when you need to change the business details Work Planner uses for planning, documents, customer communication, and payment setup. The screen has a tab for each part of your setup, down the left on a computer or along the bottom of the screen on a phone. If you manage more than one business, use the selector at the top before you start editing so you are changing the right record.

Your VAT, financial year, currency and tax details are in Settings > Accounts & tax, which the line under the heading links to. See Accounts and Tax Settings.

The Tabs

  • Company Address: holds the business address, contact details, website, and the saved geocode used by map-based features.
  • Bank Information: stores the bank details you may want to show on customer-facing documents or use in payment instructions.
  • Working Days: sets which days count as working days, the shared planner hours for those days, whose bank holidays you keep, and what should happen when a scheduled job lands on a non-working day.
  • Work Settings: Terminology changes the word Work Planner uses for a collection of jobs, such as round, area, route, or your own custom term. Worksheet Defaults chooses the name a new worksheet starts with, such as today's date, the round name, or the due date, and the Route time per job: the minutes the Route popup allows at a job with no duration of its own when it times and orders a worksheet. Leave it blank for 25 minutes. Record Labels chooses whether jobs and customers are identified by customer name, address, reference, or your own Custom mix of details wherever the app has room for only one piece of information.
  • Branding: lets you upload or remove the business logo used across branded surfaces, and holds your brand colours, fonts and social links for your designs to use.
  • Quotes: holds up to three PDFs, such as your terms and conditions, that go with every quote you email and are listed to download on the page your quote's link opens, so customers you text get them too. Each can be up to 2 MB, and is kept as soon as you add or remove it.

Record Labels (Work Settings)

Lists, dialog titles, and notification lines often have room for only one piece of information about a job. Pick whichever one your team recognises a stop by. Round-based work usually reads best as an address, while other businesses recognise a customer by name.

  • Customer Name: shows who the work is for, such as Mr John Smith. Where a customer has no personal name, the company name is used.
  • Address: shows where the work is, such as 12 Elm Road, Oxford, OX1 2AB. A job with its own address uses it, and anything the job leaves blank is filled in from the customer record.
  • Reference: shows the job reference, or the customer reference on screens where there is no job.
  • Custom: pick the details yourself, from the customer and the job, in the order you want. Choosing it opens a list that starts with the details your previous choice used, so nothing changes until you change the list.
  • Use these, in this order: drag a detail by its handle, or use its up and down arrows, to move it, and use the cross to remove it. One detail always stays on the list.
  • Add: puts another detail at the end of the list. You can choose from Customer Name, Company Name, Address, First Line of Address, Town, Postcode, Job Reference and Customer Reference.
  • Customer Name and Company Name: in Custom these are separate details, so a customer with only a company name has no Customer Name. If some of your customers are businesses, add Company Name as well.
  • Show all of them: with this off, a record shows the first detail on your list that it has, so Company Name then Customer Name shows the company for a business customer and the person's name for everyone else. Turn it on and a record shows every detail on your list that it has, in your order, such as Smith Property Services · Mr John Smith · 12 Elm Road. Long labels are cut short where a screen is narrow, such as on a phone.
  • When something is missing: records are never left blank. If the information you picked is not on a record, including every detail on a Custom list, Work Planner falls back to the others, and finally to the job number such as Job #1042.
  • Set per business: like the rest of this screen, the choice belongs to the business you have selected at the top, so businesses that work differently can be labelled differently.
  • On the jobs map: each pin's summary in the Jobs Map Popup is titled with this label, with the address underneath when the label is not already the address.
  • On Who owes you: with Address or Reference, each customer's row in Who Owes You starts with it, ahead of their name, and with Custom the row shows only the details you chose. Clicking Customer sorts the list by it. With Custom, it sorts by the first detail on your list that each customer has.
  • On the dashboard: Upcoming Scheduled Jobs and Top Missed Jobs show the label in a column headed with it, such as Address. With Custom, the heading is the first detail on your list, or all of them when Show all of them is on.

Saving

There are no save buttons. Changes save as you make them: a toggle or dropdown saves straight away, and a text field saves when you leave it, including when you move to another tab. A note in the corner of the screen says when your changes have saved.

  • Something still needed: if a change needs another field first, such as Working hours end once you have set Working hours start, the note says what is needed, such as Not saved yet — set both working hours, or clear both., and everything else you change still saves.
  • A change that could not be saved: the field says why, and its tab gets a red dot. If you have already moved to another tab, Work Planner takes you back to it.

Where These Settings Show Up Later

  • Planner and scheduling: working days, planner hours, and non-working-day handling feed into date planning and due-date calculation.
  • Bank holidays: the bank holidays you keep are named on the planner and on Work > Team, and count as everyone off when you give out work. They never move a job.
  • Worksheet routes: the Route popup starts from the company address when a phone's location is not available, uses the working hours to suggest when you leave, and allows the route time per job at each job without a duration.
  • Documents and emails: your address, logo, bank details, and business wording can all appear again in templates and outbound communication, as can the VAT number from Accounts & tax.
  • Integrations: company email and business details are reused when services such as GoCardless or email sending need organisation information.
  • Lists, popups, and notifications: the record label you choose is used where a screen has room for only one piece of information about a job, such as the reorder dialog on a round, dialog titles, and notification lines. Lists that already give the customer and address their own columns keep showing those columns. Invoices, quotes, and messages sent to customers always use the real customer name whatever you pick.
