Jobs List

How to use the Jobs list to search work, filter results, review summary cards, complete eligible jobs quickly, and run bulk actions in Work Planner.

Work Planner Team11 April 2026

The Jobs list is the day-to-day control screen for live work. It shows the jobs already in the current business selection, lets you narrow the list quickly, and gives you the bulk actions you usually need before heading into Planner or Worksheets.

What You See First

  • Search: This searches more than the job reference. It also checks customer names, service names, job address fields, worksheet notes, invoice descriptions, status reasons, and the customer address when the job is using the customer address.
  • Status: Jobs open on Active by default. If you need to review cancelled, complete, or transferred work, change Status in the list's filters. See Jobs Filters Popup.
  • Filters: The funnel button to the right of the search opens the list's filters, sliding out from the right, and shows how many are set in a circle on its corner. Each filter you set shows as a chip beside the search, such as Status: Cancelled or Rounds: Monday +2. The × on a chip takes that filter off, and clicking the chip opens the filters again.
  • Columns: The cog just left of the Filters button opens Select Columns, sliding out from the right. Tick the columns you want the table to show, drag the ticked ones into the order you like, then Save. Reset to Defaults puts back the usual set. The saved column layout is personal to your account, so you can keep the list tuned to how you work.
  • Per-page and sorting: These stay tied to your saved table preferences. If you clear sorting by clicking the same heading through both directions, the list drops back to its default order.

Job Summary

At the top of the page, the summary cards break work into scheduled, unscheduled, one-off, and recurring frequency groups. These are not just totals. Each card has its own View action, which turns the card into a filter and refreshes the list below. The card you are viewing shows as a chip beside the search, such as Showing: One Offs, and its × puts the list back.

  • Total (scheduled): Jobs with scheduling turned on.
  • Total (unscheduled): Jobs you will usually move manually because they do not have a repeat rule.
  • Recurring cards: Weekly, fortnightly, monthly, and similar patterns appear as their own cards when those jobs exist in the list.
  • One Offs: Jobs that should stop cycling forward once they are done.

Working Down the Table

  • Green tick shortcut: Eligible active jobs show a green tick beside the row checkbox. Use it when you want to open the Completion Popup straight from the list without opening the full job first. On a phone, it's Complete under More when you swipe the row right.
  • Current Worksheet: If a job is already on an incomplete worksheet, the green tick is replaced by a worksheet indicator beside the row checkbox. Hover over it, or focus it with the keyboard, to see the worksheet name and the View link into the Worksheet Detail Screen. On a phone, a small worksheet icon beside the job's due date shows it's on one, and swiping the row right gives you View worksheet.
  • Schedule column: This gives you a plain-English summary of the job schedule, so you do not need to open each job just to confirm whether it is weekly, monthly, or unscheduled.
  • Important and Reminder flags: These let you spot jobs that need extra attention without opening the record.
  • Price and Balance: These columns help you see what the work is worth and whether the customer is carrying debt or credit before you send the job into the next step.
  • Last Price Rise: Add this column with the column selector to see the day each job's price last went up with Increase Prices, or a dash if it never has. Prices changed by hand on the job don't count. Sort by it to bring the jobs that have gone longest without a rise to the top. To list only the jobs that haven't had a rise since a day you pick, open the list's filters and pick the day in Price not risen since. The cross beside it, or the × on its chip, takes the filter off again. See Jobs Filters Popup.

After you complete a job from the list, Work Planner shows a toast at the bottom-left on larger screens or as a compact top bar on mobile. If the updated balance still leaves debt on the job, the toast gives you View in Who owes you so you can jump straight into Who owes you with that job reference searched where possible. If the debt has been cleared, the toast gives you View Job so you can reopen the saved job detail popup straight away.

View on Map

View on Map, at the top of the list, opens the Jobs Map Popup with every job that matches your current search and filters pinned on a map. Paging does not apply, so all the matching jobs appear, not just the page you are looking at. Hover over a pin, or tap it on a phone, to see the job's address, frequency, price, round and due date, and click it to open the job. The button is greyed out when no jobs match.

Selected-Job Actions

Tick one or more jobs and open More Actions. Everything in that menu runs against the selected jobs only. If nothing is selected, the menu stays disabled. The menu is where flows such as Bulk Edit, Increase Prices, Add to Worksheet, and Transfer Jobs begin.

  • Bulk edit: Change the same field across several jobs in one pass.
  • Increase Prices: Put prices up for the selected jobs from a date you choose, check each job's old and new price, then let customers know by email, text or letter.
  • Add to Worksheet: Send the selected jobs to an existing worksheet or create a new one as part of the same flow.
  • Add to Collection Sheet: Put the selected jobs that owe something on a collection sheet, to go and collect. Use the Owes filter first to find them. See Adding Jobs to a Collection Sheet.
  • Transfer jobs: Move work into another business and mark the original jobs as transferred.
  • Message Customers, Print Documents: Email or text the customers of the selected jobs in the Message Customers Popup, or print paperwork for them, without opening each job.

New Job

The New Job button opens the same job popup covered in Creating a Job from the Dashboard. If your plan limit for jobs has been reached, the button stays visible but disabled so you can see why new work cannot be added until the limit is increased.

If your role doesn't include View Prices and Balances, the Price, Last Price Rise and Balance columns and the money in the totals are left out, the list can't be sorted by them, and there's no Price not risen since filter. See Editing a Role.

When Someone Else Makes a Change

The list keeps itself up to date. When someone else in your business adds or changes a job, or changes the customer or round it belongs to, or you do on another device, the list shows it within a few seconds without you reloading the page. It waits while you have a popup open, then catches up, and it keeps your filters, sort and page.
