Job Detail View

A guide to the Job detail view, including the details tab, customer tab, transactions, invoices, activity, text messages, and transfer warnings.

Work Planner Team11 April 2026

The Job detail view is the best place to review the whole story around one job before you change anything. It brings the live job fields together with notes, images, schedule information, the linked customer, transactions, invoices, activity history, and text messages.

Top-Level View

  • Top bar: The customer's name and initials, with the job's status, its service and, when it's flagged, Important. Under them are the job reference, with its business when you work across more than one, and the address. The pin, the help button, the button that makes the popup bigger or smaller, and the close button sit at its right.
  • Tabs: Details, Customer, Transactions, Invoices, Activity and Communications run along the top, each an icon over its name.
  • Price: Down the right of the Details tab, with the job's balance and when it's due under it, such as Balance £0.00 · Due today, Mon 2 Nov.
  • Balance: Shows the live financial position for the job, at the top of the Details tab. When the job is on an open collection sheet, On and the sheet's name shows beside it; click it to open the sheet.
  • Times Completed and Times Missed: Useful for understanding the real history of the work before speaking to the customer or changing the schedule.
  • Complete: The main button under the price, for eligible active jobs. It opens the shared Completion Popup without leaving the job you are reviewing.
  • Edit job: Under Complete. Opens the job popup when the record is still editable.
  • Open customer and Edit customer: At the foot of the popup on the Customer tab. Open customer opens the customer's own record in place of the job, and Edit customer changes their details.
  • Narrow popup: When the popup is too narrow for them down the side, the price and buttons sit under the tabs, at the top of Details.
  • On a phone: The job opens as a page of its own, with Complete and its other actions as round buttons under the customer's name and Edit at the top right. See Using Work Planner on a Phone.

Details Tab

  • Job Details: Reference, status, duration, flags, service, round, and business context.
  • Customer: Shows who the job belongs to and the usual customer details without leaving the job.
  • Job Address: Only stands out as its own section when the job address is different from the stored customer address.
  • Dates and Schedule: Due date, next due, last done, due time, and the schedule summary all sit together here. A job kept on its scheduled day, even on a non-working day, also says so under Non-working Days.
  • Equipment: The detail tab lists the equipment assigned to this job alongside the schedule, with a coloured swatch next to each piece. Add or change equipment through Editing a Job.
  • Pricing and Opening Balance: Lets you see not just the active price but also the extra price fields that drive future charging.
  • Price History: Appears once the job has had a price rise. A rise that is still waiting shows at the top with its new price and start date, and Cancel price rise if you can edit the job. Below it is every earlier rise, with its date, the prices before and after, and who set it up.
  • Notes and Images: Both appear on the detail tab so the operational context stays close to the job.
  • When Complete shows: Complete is left out when the job is not active, has already been transferred, or is already sitting on an incomplete worksheet.

Other Tabs

  • Customer: Opens the linked customer information inside the same flow. This is useful when you need to confirm the wider customer record without abandoning the job. Open customer and Edit customer sit at the foot of the popup on this tab.
  • Transactions: Shows ledger activity tied to the job. Payments and tips have a + in front of their amounts, in green, as money in. Charges, which the customer then owes, and refunds and expenses, as money out, have a −, in red. Write-offs have neither. When the job is still editable, New Transaction is here, and asks what you're adding first. A job with no transactions yet says Add your first transaction, with Add Opening Balance under New Transaction for money the customer owed, or had in credit, before you started using Work Planner. View All Transactions opens the Transactions List with just this job's transactions, and the list says so above the table.
  • Invoices: Shows invoice information that relates back to the job.
  • Activity: Useful when you need an audit trail of what changed and when.
  • Communications: Shows email and SMS linked to this job, including inbound replies matched back to an earlier outbound text. If your role allows sending, this tab also has Message customer at the foot of the popup (on a phone, a Message button under the customer's name), which opens the Message Customers Popup for this job.

Warnings You May See

  • Transferred job warning: The job has been moved to another business and can no longer be edited here.
  • Transferred customer warning: The job may still be visible historically, but the linked customer is now owned elsewhere.
  • Price changed since a rise was set up: The waiting price rise will be skipped on its date, because the job's price no longer matches what the customer was told it would rise from.

When This View Is Most Useful

  • Before editing: Check the schedule, notes, balance, and recent activity first so you do not make a blind change.
  • Before creating a transaction: Confirm you are attaching it to the right customer, service, and address context.
  • Before moving work elsewhere: Check whether the job is already on a worksheet, already transferred, or carrying special notes that need to follow it.

If your role doesn't include View Prices and Balances, the job's balance, prices, price history and opening balance are left out, as are the Transactions and Invoices tabs. See Editing a Role.

Pinning

The pin at the top of the popup, beside the help button, adds this job to the Pinned menu at the end of the main menu, so you can open it again from any page. Click it again to unpin it. See Pinned Records.
