Team Member Working Days

Setting the days each person usually works, weeks that take turns, a rota week by week and single days, and how they show on Team › Availability, the planner and when you give out work.

Work Planner Team19 October 2026

Everyone starts on your business's own working days, from Settings › Organisation Information › Working Days. When someone works different days, set their usual days from Team Availability with the button beside their name. When their days change from one week to the next, change that week, or just one day, instead. You need Manage Time Off and Working Days to change them, and the person is told when you do.

Their Usual Days

  • Same as the business: Leave this on to follow the business's working days, which also follows any change to them later.
  • Repeats every: Week, 2 weeks, 3 weeks or 4 weeks. Most people work the same days every week. For someone whose days take turns, such as every other Saturday, or Monday to Wednesday one week and Thursday to Saturday the next, choose how many weeks it takes to come round again.
  • Days: Tick the days they work. With more than one week there's a row of days for each, starting with this week and then next week. After the last one it starts again from the first.
  • No usual days: Untick every day for someone who only works the days you give them, such as casual help. Every day then shows as Not working until you give them days.

Changing a Day or a Week

On Team Availability, click a day in someone's row that has no time off on it. A menu opens:

  • Working this day or Not working this day: Changes just that day, such as an extra Saturday, or a Tuesday off that isn't time off.
  • Back to their usual days: Shown on a day you've changed. The day goes back to whatever their usual days say.
  • Change this week's days: Opens the week, Monday to Sunday. Turn off Their usual days and tick the days they work that week. Use these days for carries the same days on for up to eleven more weeks, which saves setting a rota week by week. Turning Their usual days back on and saving undoes that week's changes.
  • Book time off: Opens the time off popup for that person and day. See Booking and Requesting Time Off.

A day you've changed has a mark in its corner, and a day you've given someone to work says Working. Days you set stay as you set them, even if their usual days change later.

On a phone, Working days above the list of days shows each person with the days they work in the first week showing. Tap someone there and choose Change this week or Change usual days, or swipe their row right for Change week and Usual days.

Bank Holidays

A bank holiday your business keeps counts as everyone off. Setting someone to work on one is the exception: they show as working that day, and giving them work then doesn't warn.

What It Changes

  • Team › Availability: Days they don't work show as Not working.
  • The planner: On days your business works but they don't, the day says they're off, such as Off: Jess (not working).
  • Giving out work: Giving them work on a day they don't work shows a warning. You can still give it to them.
  • Time off: Only the days they'd be working count, so a week's holiday for someone working four days takes four, and a holiday over a rota week takes the days they were down to work.
  • Their profile: Everyone sees their own days in My Profile › My time off. When their days change from week to week, it lists their next four weeks too.
  • Notifications: The person is told when someone else changes their usual days, or any of their days from today on. They can turn this off with My time off and working days in their notification settings.

Working days never move jobs. Jobs follow your business's working days and its non-working day job handling, as before.

Someone who works for more than one of your businesses has working days in each, so they can work Monday to Wednesday for one and Thursday and Friday for the other.
