Profile
How the Profile page works, what you can change there, and which actions are personal versus business-wide.
Open My Profile from the menu under your picture or initials at the top right (on a phone, it is below the main menu) when you need to change your own account details or the way Work Planner looks for you. This is a personal page, not a business settings screen, so there is no business selector at the top.
Each part has a tab down the side, or along the bottom of the screen on a phone: Profile Information, Appearance, Worksheets, My time off when you work in a business with a team, Notifications, Location sharing while a business you work for has it on, Account Management and Review Work Planner. Changes save as you make them.
Profile Information
- Name: This is your visible account name. It is the part you can update from this page.
- Email address: This is your login email. It is shown for reference but the field is disabled here, so this page does not change your sign-in email address.
- Saving: Your name saves as soon as you leave the field.
Appearance
- Light: Keeps the app in the light colour scheme.
- Dark: Forces the dark colour scheme for this browser.
- System: Follows your device or browser theme automatically.
- Who it affects: Appearance is stored on the browser you are using, so it changes your own view of Work Planner without changing other team members, customer-facing documents, or website styling.
Worksheets
The Worksheets tab has Directions, for the app that gives you directions, and Done stops, for where a worksheet's stops go once you've done them. Collection sheets follow the same choice.
- Navigation app: The app that opens when you tap Navigate on a worksheet job or quote: Google Maps, Apple Maps or Waze. Apple Maps is not offered on Android phones.
- Ask me the first time I tap Navigate: Leaves the choice open, so Work Planner asks the next time you tap Navigate and remembers your answer.
- When done: Where a worksheet's stops go once they're done: a job once it's complete or missed, and a quote once it's sent, confirmed or declined. Stay in place leaves them where they are. Move to the bottom puts them after the stops still to do, in the order you did them, so the next stop to do is always at the top. Move to the bottom on phones does that only on a phone, and leaves them in place on a computer or tablet. Everyone starts on Move to the bottom.
- What stays the same: Only the list you see changes. The worksheet's own order stays as it is, so printing and the Route popup still follow it. Previous and Next in a stop's popup go through the stops in the order you see them.
- Who it affects: Both choices belong to you, so they apply on every device and in every business you work in. They save as soon as you change them.
My Time Off
When you work in a business with a team, the My time off tab is where you ask for time off and see what's booked, in every business you work for. You can also open it from My time off in the menu under your picture or initials.
- Request time off: opens the popup for asking. Choose holiday, sick or other, the days, and a half day if you need one. Holiday and other wait for approval; being off sick is booked straight away, and the people who manage time off are told. See Booking Time Off.
- Your working days: the days you work in each business, and its next bank holiday. When your days change from week to week, your next four weeks are listed too, with Changed beside a week someone has changed.
- Coming up: time off that's booked or waiting for approval, with its status. Cancel shows while you're still allowed to: while it's waiting, or once it's approved until it starts.
- Past and declined (last 90 days): folded away underneath. Click any of your time off to see its details, including the reason when a request was declined.
Location Sharing
If a business you work for has location sharing on, the Location sharing tab has a switch for each one. Turning one off stops your phone sharing with that business and deletes the locations it has kept for you. See Sharing Your Location With Your Business.
Notifications
The Notifications tab controls what Work Planner tells you about when the app is closed, and when it stays quiet. You can switch off each type of notification on its own, set quiet hours so nothing disturbs you overnight, and turn notifications on for the phone or browser you are using.
These choices follow you rather than one business, so they apply everywhere you work. See Notification Settings for the full detail.
Account Management
Passkeys, two-factor authentication, resetting a business's data and deleting your account are on the Account Management tab.
Passkeys
The Manage passkeys button takes you to the separate passkeys page. That is where you add or remove passwordless sign-in methods such as Face ID, Touch ID, Windows Hello, or a hardware security key.
Two-Factor Authentication
Next to Two-factor authentication, the button says Set up while it is off and Manage once it is on. It opens the two-factor authentication page, where you can make signing in with your password also need a code from an authenticator app on your phone.
Reset Business Data
- Who sees it: This section only appears when you are the owner of at least one currently selected business.
- Business: If you own more than one selected business, choose the one you want to reset before opening either reset popup.
- Reset job data: Removes live running data such as customers, jobs, quotes, invoices, worksheets, recurring transactions, services, payment methods, equipment, vehicles, notes, message history, notifications, quote requests from your website, and every team location the business has kept, while leaving broader business setup in place. Everything an import brought in goes too, so you can import your data, take a look, and start again.
- Reset all business data: Resets the business back to a fresh shell and also removes wider setup such as organisation settings, website data, quote forms, automations, integrations, templates, invitations, and team access for other users. Everyone's location sharing answer goes back to not asked. Your billing and the record of what you have sent to HMRC are kept.
- Business name confirmation: The reset popup will not continue until you type the exact business name shown on screen.
- Provider-side services: Resetting local data does not cancel provider-side subscriptions or mandates for you. Those still need to be cancelled separately in the provider itself.
Delete Account
The Delete account action opens a confirmation popup and permanently removes your account. Once confirmed, you are signed out and returned to the public side of the site. This is much broader than resetting one business, because it removes your user account rather than just tenant data.
Review Work Planner
The Review Work Planner tab is there for whenever you would like to review Work Planner. It only takes a minute, and it helps other businesses like yours find us.
- On a computer or in a phone's browser: Email me a review link has Trustpilot email you a link to leave your review on Trustpilot, where it shows as Verified. Trustpilot emails each person once, and only so many each month, so when it can't, the tab has Review us on Trustpilot instead, which opens Trustpilot's review page in a new tab.
- In the iPhone and Android apps: Rate Work Planner opens Work Planner in the App Store or Google Play, where you can leave a rating and review.
- Being asked on the Dashboard: Now and then the Dashboard asks business owners for a review. Using this tab counts as being asked, so it won't ask you again straight after.
