Print Flow

How printing or sharing an invoice works, what opens for you, and how to mark it as sent once it has gone.

Work Planner Team12 April 2026

Open the invoice detail popup and click Print to print the invoice. Work Planner requests a PDF version of that invoice and opens it in a print-friendly viewer.

What the User Sees

  • Print: Sits in the side bar of the invoice detail popup's Details tab, with the other links. On a phone, it's one of the round buttons under the invoice's name.
  • PDF preview: Work Planner either opens a detached preview window or uses the platform's native PDF preview behaviour, depending on the device.
  • Loading state: Print shows a spinner while the PDF is being fetched.

Marking It as Sent

Printing doesn't change the invoice's status, as you might only be checking it. Once you have posted it or handed it over, click Mark as sent in the invoice popup so it shows as Sent, with today as its sent date.

Printing Several Invoices

To print several at once, tick them on the Invoices list and click Print 3 invoices above the table. Work Planner makes one PDF of them all, in the order the list shows them, each on its business's invoice template, and opens it the same way as a single invoice. It doesn't mark them as sent either.

Sharing From the App

In the Work Planner app on a phone or tablet, Share sits next to Print. It fetches the same invoice PDF and opens your device's share options, so you can send it to the customer by WhatsApp, text, or email, or save it to your files. Sharing doesn't mark the invoice as sent either; use Mark as sent once it has gone. The share button does not appear in a web browser.

When Printing Fails

If the PDF cannot be loaded, Work Planner shows an error alert in the invoice detail popup and closes any detached preview window it opened. In that case the print has not completed properly, so the invoice should not be treated as safely printed. Printing several from the list shows an error message instead, such as Couldn’t print the invoices.

What Printing Does Not Change

  • Invoice items: Printing does not alter the line items or totals.
  • Payments and write-offs: These stay exactly as they were.
  • Customer and job links: These are untouched.
