Scheduled Transaction Detail View
What the scheduled transaction detail popup shows, including next due date, total processed value, and generated transaction history.
Click any row on the Scheduled Transactions list to open the details popup. It also opens from View Scheduled Transaction on an expense or transaction that one made. When you edit one of those, View beside its Repeats line opens it too. This is where you confirm how the recurring setup is configured and how much activity it has already produced.
How the Popup Is Laid Out
- Top bar: A calendar icon and the description, with its status, Active or Inactive, and its type, such as Payment, beside it. Underneath are Scheduled transaction, with the business when you work in more than one, then the amount, how often it repeats and who or what it's for, such as the customer or the expense category. At the right of the bar are the pin, the help (?) button, and the buttons to expand the popup and close it.
- Side bar: Down the right of the Details tab, with Edit scheduled transaction, and Delete scheduled transaction in red at its foot. When the window is too narrow for it down the side, it sits under the tabs, at the top of Details. On the Transactions tab, Edit scheduled transaction is at the foot of the popup instead.
- On a phone: It opens as a page of its own, named by its description, with Edit at the top right.
Stats Bar
- Status: Shows whether the recurring setup is active or inactive.
- Type: Shows the type of ledger row it creates.
- Transactions: The number of ledger items generated so far.
- Total Processed: The combined value of those generated transactions.
Details Tab
- Schedule: The plain-English summary of the recurrence pattern.
- Links: Customer, job, service, payment method, expense category, and vehicle all sit together so you can confirm what future occurrences will inherit. The vehicle only shows when the schedule has one.
- Dates: Starts On, Last Processed, and Next Due show where the recurring pattern began, when it last ran, and what is expected next.
- Amounts: Amount, VAT Rate, VAT, Net Amount, and Payment Reference are grouped together so the recurring money values are easy to check.
Transactions Tab
The Transactions tab shows the ledger items created by this one scheduled transaction only. That is the quickest way to see the recurring history without manually filtering the wider Transactions screen yourself.
Main Action
Use Edit scheduled transaction when the recurring setup itself needs changing. If the problem is only with one generated row, open that individual transaction instead of rewriting the whole schedule. Costs that repeat are added with Add expense and stopped with Stop on the Repeating Costs tab of Expenses.
Deleting It
Delete scheduled transaction, at the foot of the side bar, asks the same question as the bin on the list, Are you sure you want to delete this scheduled transaction?, and Delete deletes it and closes the popup. One that has already made transactions is kept for them: pressing Delete says Scheduled transactions with linked transactions cannot be deleted. To stop it adding any more, edit it and set its Status to Inactive.
Pinning
The pin at the top of the popup, beside the help button, adds this scheduled transaction to the Pinned menu at the end of the main menu, so you can open it again from any page. Click it again to unpin it. See Pinned Records.
